Privacy Policy · TAVNOR by AquellAI

Privacy information for assessment applications.

This policy explains how AquellAI handles information submitted through the TAVNOR assessment application and related scope-review communications.

1. Information we collect

The TAVNOR assessment form may collect the company name, contact name, work email address, role or title, payment service providers involved, approximate refund-volume band, a description of the workflow under review, whether relevant exports or evidence are available, whether a decision or budget owner is involved, and optional notes. The form also asks which records or systems disagree, how often the exception occurs, what happens today when records do not agree, and the consequence of taking the wrong next action.

We also record basic submission information needed to operate the intake workflow, such as the submission timestamp and source.

2. How we use the information

AquellAI uses the information provided to assess whether the submitted workflow fits the scope of the Refund Exception Cost and Control Assessment, to conduct human scope review, to contact the submitter about that assessment, and to maintain the operational record of the intake and review process.

Submission of the form does not constitute acceptance, qualification, an order, a payment instruction, or a scheduled engagement.

3. Data handling and service providers

Intake records are stored in AquellAI-controlled business systems, including Google Workspace and Google Sheets. AquellAI also uses hosting, infrastructure, and email-delivery services necessary to operate the website, record the submission, and notify the review team.

Access is limited to people and systems that require the information for the assessment, operation, security, administration, or related legal obligations.

4. Do not submit sensitive operational data

Use the assessment form only for initial qualification. Do not submit payment-card data, bank details, account credentials, transaction exports, customer personal data, or other sensitive operational records through the public form.

If a workflow qualifies and evidence is required, AquellAI will provide an approved route for that information.

5. Retention and security

AquellAI keeps assessment information for as long as reasonably necessary for scope review, operational recordkeeping, security, administration, and applicable legal obligations. Access and credentials are managed using controlled permissions appropriate to the systems involved.

6. Your information

If you want to ask what information AquellAI holds about your assessment submission, request a correction, or make a privacy-related request, contact hello@aquellai.com.

7. Changes to this policy

AquellAI may update this policy when the TAVNOR intake workflow or its data handling changes. The current version published on this website controls for website assessment submissions.
